Sales Coordinator
Role Summary
The successful candidate will coordinate the day-to-day activities of the sales team, monitor sales targets and performance, manage and track leads, support client engagements, and ensure a seamless sales process from initial enquiry through to booking and completion. The role will work closely with the Head of Sales, Marketing, Finance, Legal, and other departments to maximize sales opportunities and deliver an exceptional experience to high-value clients

Sales Coordinator – Key Job Responsibilities
- Deputize the Head of Sales
- Act on behalf of the Head of Sales during their absence and ensure continuity of sales operations.
- Support implementation of the company’s sales strategy, targets, and business development plans.
- Coordinate the sales team and follow up on agreed sales activities and targets.
- Sales Team Coordination
- Coordinate the day-to-day activities of Sales Executives and ensure proper allocation and follow-up of leads.
- Monitor individual and team sales performance against set targets.
- Organize sales meetings, briefings, property presentations, site visits, and client appointments.
- Follow up with sales team members on pending leads, prospects, and client engagements.
- Lead & Client Management
- Receive, record, allocate, and monitor all sales leads from digital platforms, referrals, walk-ins, agents, and other channels.
- Ensure timely follow-up of prospective clients and maintain accurate lead records.
- Monitor the sales pipeline from initial enquiry through viewing, negotiation, booking, and completion.
- Maintain strong relationships with high-value and prospective clients.
- Property Sales Support
- Have a strong understanding of the company’s property portfolio, pricing, payment plans, features, and unique selling points.
- Support Sales Executives during client presentations, negotiations, property viewings, and site visits.
- Prepare and coordinate property proposals, quotations, brochures, presentations, and other sales materials.
- Ensure clients receive accurate and timely information about available properties.
- Sales Reporting & Analysis
- Prepare daily, weekly, and monthly sales reports for the Head of Sales and management.
- Track leads, conversions, bookings, sales revenue, cancellations, and outstanding deals.
- Analyze sales performance and identify opportunities, gaps, and areas requiring corrective action.
- Maintain accurate and up-to-date sales databases and CRM records.
- Target Management
- Assist the Head of Sales in setting sales targets for the team.
- Monitor progress against monthly, quarterly, and annual targets.
- Follow up on underperforming sales staff and recommend appropriate interventions.
- Encourage the team to maximize conversions and achieve revenue targets.
- Client Experience
- Ensure a premium and professional client experience throughout the sales process.
- Handle client enquiries and complaints professionally and escalate complex matters to the Head of Sales or management.
- Coordinate client communication and ensure commitments made to clients are followed through.
- Sales Agents & Partnerships
- Coordinate relationships with external property agents, brokers, corporate clients, and strategic partners.
- Track performance of external agents and ensure they receive updated property information and marketing materials.
- Assist in developing and maintaining a network of high-value referral partners.
- Marketing & Sales Coordination
- Work closely with the Marketing and Digital teams to ensure marketing campaigns generate quality sales leads.
- Provide feedback on the quality and conversion of leads generated through various marketing channels.
- Assist in planning property launches, open days, exhibitions, client events, and other promotional activities.
- Sales Administration & Compliance
- Ensure all sales documentation is properly completed, approved, and filed.
- Coordinate with Finance, Legal, and other departments on bookings, deposits, contracts, payments, and completion documentation.
- Ensure sales processes are followed and that no commitments outside approved company policies are made to clients.
- Maintain confidentiality of client and company information.
- Market Intelligence
- Monitor competitor developments, pricing, promotions, and market trends.
- Gather customer feedback and provide insights to management on changing market demands.
- Identify potential new markets, client segments, and sales opportunities.
- Other Responsibilities
- Assist the Head of Sales in recruitment, onboarding, coaching, and performance management of sales staff where required.
- Conduct sales training and product knowledge sessions for the team.
- Perform any other duties reasonably assigned by the Head of Sales or senior management
Required Skills and Qualifications
- Experience:Proven experience in real estate sales, investment, or a client-facing consultative role.
- Communication:Excellent verbal and written skills for negotiation, presentation, and relationship building.
- Market Knowledge:Deep understanding of local property laws, market trends, and financial requirements.
- Tech Savvy:Proficiency with CRM software (e.g., Salesforce), MLS, or property management tools.
- Education:A Bachelor’s degree in Real Estate, Business, Finance, or a related field is often preferred, along with a real estate license.
- Analytical Skills:Ability to analyze financial data and property valuations.
